Collect invoices and receipts from your inbox with Hy
Month-end, and the invoices are spread over a dozen threads: a receipt here, a download link there. Ask Hy, and it goes through last month's mail, collects the invoices and receipts and makes one list with what your bookkeeper needs.
Things to ask Hy
- “Collect all invoices and receipts from September”
- “Make a list with vendor, invoice number, date, net, VAT and gross”
- “Which of my regular invoices are missing this month?”
- “Do this on the first working day of every month”
What Hy does
- Searches your mail: invoices, receipts and “your receipt is ready” messages from last month, in every mailbox you connected.
- Extracts the fields: vendor, invoice number, issue and due date, currency, net, VAT and gross, for each document.
- Makes one list: a table for your bookkeeper, and the files in one place.
- Notices gaps: for vendors that only have a portal and send no PDF, Hy reminds you to download the invoice yourself.
- Runs every month: ask once, and Hy repeats it as a routine you can see under Upcoming.
Good for
Freelancers, agencies and small companies with a long tail of vendors, and anyone who would rather spend the last day of the month on something other than searching for the word “invoice”.
You decide how often Hy asks
In Settings → Approvals you choose how Hy acts on your behalf. With Always ask, you review every change before it runs: you see what Hy wants to do and why, and nothing happens until you tap Allow. With Risky actions, routine work goes ahead and Hy asks before anything risky or destructive. You can also give standing permissions for things you do often.
Approvals lists every request next to what Hy did and what is coming up, so you can always see what happened.
Questions
- Does Hy send the invoices to my bookkeeper?
- Only if you ask it to, and within your approvals: with Always ask, you see the email before it goes out.
- Which mailboxes does Hy search?
- All mailboxes you connected: Gmail, Outlook and Microsoft 365, and mailboxes such as GMX, WEB.DE, T-Online or iCloud Mail.
